Office Relocation Without Downtime: A UAE Planning Guide

An office move is measured in one currency: downtime. Every hour your team can't work costs more than the move itself. The good news — with the right sequence, a 30–50 desk office in Dubai can close on Thursday evening and open fully operational on Monday morning. Here's the playbook we use.

4–6 weeks out: plan and assign

• Appoint one internal move coordinator — a single decision-maker saves days of back-and-forth.
• Get the new office's floor plan and decide seating before anything is packed. Every desk, chair and monitor gets a numbered label matched to the plan.
• Book building management on both ends: service-lift reservations, loading-bay access and move permits (many Dubai towers, DIFC and free zones require them).
• Choose a mover experienced with office relocation and lock the weekend date.

2 weeks out: IT and communication

• Schedule internet and phone activation at the new office at least a week before the move — connectivity is the #1 cause of Monday downtime, not furniture.
• Back up everything. Servers and network gear travel in padded, anti-static packaging, moved first and reinstalled first.
• Tell staff the plan: what to pack into their labelled crate (personal items, cables, drawers), and what stays.

Moving weekend: the sequence that works

• Thursday evening: crews pack and wrap; IT powers down and disconnects.
• Friday: transport and placement to the floor plan — desks and meeting rooms first, boxes to the right rooms, IT begins reconnection.
• Saturday–Sunday: workstation testing, snag list, empty-crate removal at the old office and handover cleaning.
• Monday 9am: staff sit down at working desks.
